Step 1: Gather and Organize Your PDF Set

Before counting a single item, confirm you have the correct drawing set. Issued-for-bid and issued-for-construction sets differ, and using an old revision is a common source of bid errors. Download the full plan set from the bid portal and verify the sheet list matches the drawing index on sheet G-001 or equivalent.

Organize sheets by trade discipline. Most estimators work one trade at a time: all electrical sheets first, then plumbing, then mechanical. Jumping between disciplines mid-takeoff is how items get double-counted or missed entirely.

Step 2: Set and Verify Scale

PDF drawings are frequently reprinted, reduced, or exported at non-standard sizes. Never assume scale is correct. Use a known dimension — a labeled wall length, a door width, a column spacing — and confirm it matches the scale bar on the sheet. Go sheet by sheet through your assigned discipline. For mechanical and electrical work, you are typically counting symbols: outlets, fixtures, diffusers, pipe hangers, equipment units. For structural or architectural, you are often measuring linear footage of framing, square footage of floor finishes, or counting door and window units.

Use a consistent method — color-coded highlights in a PDF markup tool, or a tally sheet — so you can audit your counts later. Pay attention to keynotes and general notes; specs often describe items that do not appear in plan view but are required by scope.

Step 4: Cross-Reference and Check Totals

Items appear on multiple sheets. A light fixture may appear on both the electrical plan and the reflected ceiling plan. Structural members appear in plan view, in elevation, and in detail sections. A disciplined cross-reference between sheets is the only reliable check against double-counting or missed scope.

Transfer final counts to your estimate template. Flag any items where you had to make assumptions — sheet conflicts, illegible callouts, ambiguous scope boundaries — so you can note them in your bid qualifications.
